Privacy notice

In short: no cookies, no analytics, no tracking. We only process the data you choose to send us through a form.

Last updated: TO VALIDATE by EFMI before publication

1. Who is responsible

The data controller is the European Federation for Medical Informatics (EFMI), acting through its Working Group on Education (WG EDU). TO VALIDATE: EFMI legal name, registered address and privacy contact e-mail

For any privacy question, contact the WG EDU chairs (see About) or EFMI at the address above.

2. What happens when you visit the site

This website is a set of static pages hosted on GitHub Pages, a service of GitHub, Inc. (USA). When you open a page, your browser sends your IP address and technical data (browser type, time, page requested) to GitHub, which keeps them in server logs for security purposes. EFMI does not have access to these logs and does not use them.

  • Legal basis: legitimate interest in running a secure website (GDPR Art. 6(1)(f)).
  • Transfer outside the EU: GitHub is a US company certified under the EU-US Data Privacy Framework (adequacy decision of 10 July 2023). See the GitHub privacy statement.

We use no cookies, no analytics, no advertising and no social media plugins. Fonts and scripts are served from this site only.

The Publications page asks Zenodo (run by CERN, Switzerland) for the list of publications in the WG EDU community. Your browser connects directly to zenodo.org, which receives your IP address. No cookies are set and nothing else is sent. Switzerland has an EU adequacy decision. See the Zenodo privacy policy.

If you switch between light and dark mode, your choice is saved in your own browser's local storage (key efmi-wg-edu-theme). It never leaves your device and you can delete it by clearing site data. This is strictly necessary to provide the feature you asked for.

3. Forms and databases (Baserow)

Some pages show databases and forms from Baserow, hosted in the European Union (Germany). TO VALIDATE: Baserow contracting entity and data processing agreement with EFMI

TO VALIDATE: retention periods

The forms on the About, Programmes and GenAI Lab pages are embedded from Baserow. When a page with a form loads, your browser connects directly to Baserow, which receives your IP address. Baserow sets one functional cookie, i18n-language, that stores the interface language (for example en) for one year. It contains no identifier and is not used for tracking. No data is sent to Baserow until you press “Submit”. If you prefer, you can open each form in its own page using the link below it.

AI pre-screening of suggestions. Resource suggestions may be pre-screened by an AI model to check topic and licence. Only the resource details are sent, never your name or e-mail, and a person always takes the final decision. No decision with legal or similar effects on you is made automatically (GDPR Art. 22). TO VALIDATE: model and provider

4. Who sees your data

Only the WG EDU members who manage the forms. We do not sell or share your data. Published programme records (institution, programme name, URL, etc.) are public by design and contain no personal data. Members appear on the Members page only if they agreed to be listed, and can ask to be removed at any time.

5. Your rights

You can ask to access, correct or delete your data, to restrict or object to processing, to receive your data in a portable format, and to withdraw consent at any time. Write to the contact in section 1. You may also complain to a data protection supervisory authority, for example the one in your country of residence (see the list of EU authorities).

6. Links to other sites

This site links to other websites (publishers, EU portals). Their own privacy policies apply when you visit them.

Online WG meetings are held on Microsoft Teams, hosted by a member institution. Nothing is sent to Microsoft when you view this site; Microsoft's privacy policy applies only when you join a meeting. The calendar file (meetings.ics) is served from this site and contains no personal data. The "Google Calendar" and "Outlook" links are plain links: Google or Microsoft only receive the meeting details if you click them.
